Follow up by CRM stage
A follow-up assistant writes to people whose TicAte CRM lead or deal sits in the stages you choose, after a quiet spell, and can start chats with new leads who never messaged.
With TicAte CRM connected, an assistant can follow up people by where they stand in your pipeline. For example, a "Quote sent" assistant nudges everyone whose deal has sat in Quote sent for two days, and nobody else.
TicAte CRM must be connected under Integrations.
Set it up
- Open the assistant, then Follow-ups & ads.
- Under Follow up by CRM stage, turn on On.
- Under Stages to follow up, click the stages, grouped by pipeline. Only people in these stages get follow-ups.
- Set the timing:
- First follow-up after: hours of quiet before the first one (48 to start with). Quiet means no message from anyone, counted from when the person entered the stage or from the last message, whichever is later.
- Then every: hours between follow-ups (72 to start with).
- At most: follow-ups per stage (3 to start with). Counting starts again when they move to another chosen stage.
- Under After WhatsApp's 24 hours, choose an approved template, or Create a follow-up template. See Follow up when a customer goes quiet.
- Click Save changes.
Within 24 hours of the customer's last message, the assistant writes the follow-up itself, knowing their stage, and picks up where the chat stopped. After that it sends the template. With No template: only follow up within 24 hours, it sends nothing then.
Start chats with people who haven't messaged yet
Leads from a form, from lead ads, or added by hand may have no WhatsApp chat yet. With Also start chats with people who haven't messaged yet on, they get the template once they have been in the stage for the first wait.
- It needs a template: a chat can only be started with one.
- New chats a day, at most (30 to start with) keeps a big stage from using up your number's messaging limit in one go.
- The chat starts from the assistant's WhatsApp number.
- Use it only for people who expect to hear from you on WhatsApp.
Who never gets one
- People who opted out of marketing messages.
- Chats where this assistant is paused.
- Anyone outside the assistant's opening hours: those wait.
Any message in the chat, from the customer or your team, restarts the wait. Moving the person to a stage not on your list stops the follow-ups.
A separate follow-up assistant
The follow-up assistant doesn't have to answer chats. Create one just for this, with Answer incoming chats by itself off and Available to automations and chatbots on. When the customer replies, the assistant that answers their stage takes the chat. See Several assistants on one number.
