Set up a module's stages

Give a module a board, then add, rename, recolour, reorder and delete its stages and mark which ones are won and lost.

Guide 7103Updated

Stages are the steps a module's records go through, such as Due, Reminded and Received for client payments, or Planned, Visited and Cancelled for site visits. They are the columns of the module's board, the same way stages work for deals.

Give a module a board

A module only has stages when it has a board.

  1. Open Settings → Modules and click the module. Only owners and admins can do this.
  2. Tick Board with stages.

The first time, the board gets three stages: New, In progress and Done, with Done marked won. Records that already existed have no stage yet: they wait in an Unsorted column at the end of the board until you move them.

Untick Board with stages to go back to a plain list. The stages are kept for when you turn it on again.

Open the stages

  1. Open the module from the left menu.
  2. On the board, click the gear button (Manage stages) at the top right.

Owners, admins and managers can change stages. The window is named after the module, for example Client payments — stages.

A module's stages

Each module has exactly one board, so there are no pipelines to add or delete here. To rename the board, click the pencil next to its name at the top.

Add, change and delete stages

  • Add a stage: click Add stage at the bottom. A stage called New stage is added at the end; type its name.
  • Rename: click in the name, type, and click away.
  • Colour: click the colour dot and pick one, or Any colour… for your own.
  • Move: use the up and down arrows on the left. The board shows stages in this order.
  • Probability: the percentage box next to the name.
  • Delete: click the bin. If records are still in that stage, you are asked whether to move them to another stage first. A board must keep at least one stage.

Click Done when you have finished.

Won and lost stages

Each stage has two buttons on the right: the trophy (Mark as Won) and the cross (Mark as Lost). A stage can be one or the other, or neither.

Won and lost stages matter more in a module than they look:

  • On the board they sit at the end, after a divider, with the stages still in play first.
  • For a money module, the won stage means the money arrived (Received, Paid) and the lost stage means it never will (Written off, Rejected). That is what the deal, the invoices and the ledger count. See Money modules: money in and money out.

Where new records start

A new record goes into the first stage, unless you add it with the quick button at the top of a column: then it starts in that column. See Add module records and work in the card.

Automations and access per stage

  • Automation rules on the board runs steps when a record arrives in a stage. See Automate a module.
  • Under Settings → Access, the module's board is listed under Pipelines and stages. There you can give a role different rights in one stage, or lock a stage so that role cannot move records into it. See Roles and permissions.
