Name, currency, time zone and phone country

These are in the Workspace box at the top. Change what you need and click Save.

  • Name: your workspace's name, as your team sees it.
  • Currency: the currency for every amount in the workspace, such as deals, estimates, invoices and money fields.
  • Timezone: drives the clock in the top bar, what "today" means in reports and in Tic Buddy, and when reminders go out. If your computer is on a different time zone, the CRM offers use that.
  • Default country for phone numbers: the country code a new phone number starts with. Choose Guess from the browser to leave it to each person's browser. Whatever someone picked last still comes first for their next number.

Changing the currency

When you pick a new currency, a box appears: Also switch every deal and lead still in the old currency to the new one. It is ticked to start with. Leave it ticked to move those records to the new currency. Only the currency changes: the amounts are not converted. Records quoted in any other currency keep theirs. After saving, the CRM says how many records were switched.

Hide full phone numbers

Under Hide full phone numbers from, click Agents, Managers or Admins to choose who sees customers' phone numbers masked, like "+91 •••••• 10". They see them masked everywhere, including lists, exports and the API, and cannot change them. Owners always see the full number.

People in those roles can still call from the CRM once telephony is connected, without seeing the number.

Work reports

Choose how often people send a work report (Every day, Every week or Every month, or Off) and who reads them. See Work reports.

Two-step sign-in

Owners and admins see a Two-step sign-in box to require a code from an authenticator app at sign-in. See Two-step sign-in.

Your companies and brands

The Your companies and brands box holds what estimates and invoices print as "From": your legal name, address, tax ID, bank details and logo. See Your company details, logo and brands.

Sources

Sources is the list of places customers come from, such as Website, Referral or Instagram. Leads, deals, contacts, companies, your own modules and the contact centre's queues all pick from this one list, so "Website" means the same thing on every record and in every report.

  1. To add one, type it in Add a source and click Add.
  2. Use the arrows to change the order, and the bin to remove one.
  3. Click Save.

The Sources list
The Sources list

Removing a source keeps it on records that already have it; it is just no longer offered.

Exchange rates

If some deals are in another currency, Exchange rates says what one unit of that currency is worth in yours. The CRM uses these rates to total a pipeline column that holds more than one currency. An amount in a currency with no rate is left out of the total, and the total says so.

To add a rate, type the three-letter code (for example EUR) and the rate, and click Add. To change a rate, edit the number and click away. The cross removes it.

Rates are not fetched automatically: they stay as you set them until you change them.

Numbering of estimates and invoices

How estimates and invoices are numbered is set from the Estimates and Invoices pages, under Numbering & terms. See Estimates and invoices overview.
