Create and assign a task

Write a task, choose who is responsible, who helps and who watches, and set a deadline and priority.

Guide 4102Updated

Every task has one responsible person: the one who does it. Others can help as participants or watch as observers. When you create a task for someone, they get a notification straight away.

Create a task

  1. Open My Tasks and press New task at the top right.
  2. Type what needs doing in What needs doing?. Add details, links or instructions in the box under it.
  3. Choose the person in Responsible. It starts with you.
  4. Pick a Deadline and a Priority: Low, Normal, High or Urgent.
  5. If the task belongs to a project, choose it under Project. If the project has board columns, you can also pick the column.
  6. Press Create task. The new task opens so you can carry on.

You can also create a task from a project, from a deal or other record, or by double-clicking a day in the calendar view. A task created that way is already linked to it.

Add helpers and watchers

  • Participants help with the work. They see the task under I help and are told when it is created.
  • Observers only watch. They see the task under I follow and hear when it is finished.

More options

Click More options under the main fields for the rest:

  • Start: when the work should begin. Used by the timeline view.
  • Remind me: a date and time when the CRM sends a reminder to you, the person who created the task, and to the responsible person (once, if that is you). Whatever you set here, the responsible person is also told when the deadline is less than a day away.
  • Estimate (hours): how long you expect it to take. See Track time on a task.
  • Checklist (one per line): small steps inside the task.
  • Tags: words that help you group and find tasks.
  • Flow: put the task in a shared queue and let the flow choose who does it. Choosing a flow fills in the flow's priority, deadline and whether you accept the result, and sets Responsible to Let the flow decide. See Flows.
  • I accept the result: the task comes back to you to accept before it counts as done. See Check a task's result before it counts as done.
  • Goes on the work report: the task appears on the responsible person's work report. See Work reports.
  • Milestone: marks an important point. Milestones show a flag in lists and as a diamond on the timeline.
  • Deal, Lead, Contact and Company: link the task to a record, so it shows what the work is about.

Change a task later

Open the task and change any field in the panel on the right: Responsible, Deadline, Priority, Project, Tags and the rest. Changes save as soon as you leave the field. To make a duplicate, open the ⋯ menu and choose Copy task.
