Set up pipelines and stages
Add sales pipelines, choose the default, add, rename, recolour and reorder stages, mark stages won or lost, and send records on automatically with tunnels.
A pipeline is the path a deal takes from first contact to a sale. Its stages are the columns on the board: New, Proposal sent, Negotiation, Won. Shape them to match how your business really sells, and the board, reports and automations all follow.
Deals can have several pipelines, for example one for new customers and one for renewals. Leads run on a single pipeline.
Owners, admins and managers can change pipelines and stages.
Open the pipeline settings
- For deals: open Deals and click the settings icon next to the pipeline picker (Manage pipelines & stages). The window is called Sales pipelines and tunnels.
- For leads: open Leads and click the settings icon (Manage stages). The window is called Lead pipelines and tunnels.

Each pipeline shows its stages in three groups: In progress, Success and Failed. Every stage chip shows how many records are in it. The star marks the default pipeline, the one the dashboard funnel uses.
Add a pipeline
At the bottom of the deals window, click Add pipeline and type its name. To rename a pipeline, click the pencil next to its name.
Change the default pipeline or delete one
A deal pipeline that is not the default has two more buttons next to its name:
- Make default: new deals and the Deals page start in this pipeline, and the star moves to it.
- The bin deletes the pipeline. Only an empty pipeline can be deleted; if it still holds deals, the CRM says how many. Move them to another pipeline first.
To delete the default pipeline, make another one the default first.
Add a stage
- Click Stage at the right of the pipeline to add one at the end.
- Or hover a stage and click its + to add one right after it.
Type the name and press OK.
You can also add a stage straight from the board, at the end of the columns.
Edit, move or delete a stage
Click the pencil on a stage chip. In the small panel you can:
- Change the Name and click Save.
- Pick a new Colour, from the palette or Any colour….
- Move it with Earlier and Later. You can also drag a stage chip to a new place.
- Choose what it Counts as: In progress, Won or Lost. The stage moves to the In progress, Success or Failed group. This works only while the stage is empty, because records already in it keep the state they arrived with.
- Set a Tunnel… (see below).
- Delete stage. A stage can only be deleted when it is empty; move its records to another stage first.
Send records on with a tunnel
A tunnel moves a record onwards automatically. When a record arrives in a stage with a tunnel, it is moved straight on to the stage you pick, even in another pipeline, and that stage's automation rules run as if it had arrived there normally.
For example, when a deal reaches Won in your sales pipeline, a tunnel can start it in the first stage of a delivery pipeline.
- Click the pencil on the stage, then Tunnel….
- Pick the destination stage.
- Click Save. To stop it, open it again and click Remove tunnel.
A stage with a tunnel shows where it leads under its chip.
Automations and access per pipeline
Next to each pipeline's name:
- Automation rules opens the rules that run when records reach its stages. The number shows how many there are.
- Access sets what each role may do with records in this pipeline: deny it, allow only their own items, or keep the same rights as the module. Owners and admins always have full access. See Roles and permissions.
