Set up your team's profiles
Owners and admins fill in joining dates, main departments and managers, add extra profile fields for everyone, and manage a person's account from their profile.
Everyone can keep their own profile up to date. Owners and admins can also edit anyone's profile, and set the parts that describe where a person sits in the company. This article is for owners and admins.
Edit someone's profile
- Open the person's profile. For example, click their picture anywhere in the CRM and choose Open profile.
- Click Edit profile. A panel opens on the right.
- Change what you need:
- Basics: Full name and Job title.
- Contact (everyone in the workspace sees this): Mobile, Desk phone, Extension and Birthday.
- Organisation (owners and admins only): Joined on, Main department and Reports to.
- Personal (only the person and managers see this): personal email and phone, address, LinkedIn, and About, which is shown at the top of the profile.
- Click Save changes.

The email address at the top of the panel is the one they sign in with. It is changed from their account, not here.
Set who reports to whom
Under Organisation, Reports to sets the person's manager. It appears on their profile and in their colleagues' Direct reports count. Choose Nobody for the person at the top.
You cannot make someone report to themselves, or to someone who already reports to them, directly or further down.
Joined on is used for With the team on the profile. Without it, the date they joined the workspace is used.
Add your own profile fields
Need a blood group, T-shirt size or emergency contact on every profile? Add an extra field:
- Open any profile and click Edit profile.
- Scroll to Extra fields and click Add a field.
- Type the Field name and choose the Kind: Text, Paragraph, Number, Date, Pick from a list, Phone, Email or Link.
- Choose Who sees it: Everyone, or The person and managers.
- Click Add field.
The field is added to every profile in the workspace. Use the pencil to rename a field, or the bin to remove it from every profile; values already filled in stop showing.
Manage someone's account
On someone else's profile, owners and admins see Manage at the top right. It holds:
- Role: click Admin, Manager or Agent to change their role. Only an owner can make someone an owner.
- Access permissions: opens Settings → Access. See Roles and permissions.
- Email a password reset link.
- Deactivate account: they are signed out on every device and cannot sign in until reactivated. Their records and history stay. Under Move their open records to, pick a colleague to take over their open records, or leave them where they are, then click Deactivate.
- Reactivate account, on a deactivated profile.
