Repeating tasks and templates

Make a task come back every day, week or month, and keep tasks you set often as templates.

Guide 4106Updated

Some work comes round again and again: a weekly report, a monthly stock check, a daily call list. A repeating task creates its next copy by itself. A template is a task you write once and raise whenever you need it.

Make a task repeat

  1. Open the task, or start a new one.
  2. Under Repeat, choose Daily, Weekly or Monthly instead of Does not repeat.
  3. In every, type how many days, weeks or months apart. For every second week, choose Weekly and type 2.
  4. If the repeats should stop, pick a date after until. Leave it empty to repeat with no end.

The task's header shows how often it repeats, such as weekly, and lists show a small repeat icon after the title.

When the next copy appears

The next copy is created when the current one is finished, not on a fixed day. Its deadline is moved on from the old deadline by the repeat you chose, or from the day it was finished if the task had no deadline. The new copy keeps the title, description, responsible person, participants, observers, checklist, tags and links to records. If the task needs review, the next copy is created once the result is accepted.

Use templates

Templates live on the Templates tab of the Tasks page.

Make a template

There are two ways:

  • From a task you already have: open it, press ⋯ → Save as template, give it a Template name and choose Who can use it: Only me, My teams or Everyone. Then press Save template.
  • From scratch: on the Templates tab, press New template, fill in the form and press Create.

A template holds the title, description, priority, responsible person, checklist, participants, observers, tags, estimate and Due in (days): the deadline counted from the day the task is created. Set Responsible to Whoever raises it and the task goes to the person who uses the template.

When Who can use it is My teams or Everyone, you can narrow it further with Only these people or Only these teams.

Use a template

  • On the Templates tab, press Use it on a template. The task is created at once and opens.
  • In the New task window, choose a template in Start from. The form fills in, and you can change anything before you press Create task.

To change or delete a template, hover over it on the Templates tab and use the pencil or bin icon.
