Projects and their boards

Group tasks into a project with its own members, dates and board columns, and follow its progress.

Guide 4201Updated

A project brings together the tasks for one piece of work, such as a website relaunch, a new branch or a customer rollout. It has an owner, members, start and end dates, and its own board with the columns you choose. You can see at a glance how much is done and what is late.

Open Projects under Work in the left menu.

The Projects page
The Projects page

Each card shows the project's tasks done out of the total, the share done, how many are overdue, the dates and the members. Switch between Active, Mine (projects you own or belong to) and Archived at the top.

Create a project

  1. Press New project.
  2. Type a Name, pick a colour, and add a Description if it helps.
  3. Choose the Owner and, if you like, the dates under Starts and Ends.
  4. Add Members.
  5. Check the Board columns: one per line, from first to last. The CRM suggests Backlog, In work, Review and Done.
  6. Press Create project. The project opens.

If the last column is called Done, moving a task into it finishes the task.

Work in a project

The project page shows its owner, members, dates and a progress bar. Next up lists the tasks with the nearest deadlines.

  • Press New task to add a task to the project. See Create and assign a task.
  • On the Board, drag a card to another column to move the task along. Tasks not yet in any column wait in No stage on the left. Press + at the top of a column to add a task straight into it.
  • Switch to List, Calendar or Timeline with the buttons above the board. They work as on the Tasks page. See Task views.
  • Untick show done to hide finished tasks.
  • Press Chat to open the project's own chat. Hide chat closes it.

Only top-level tasks appear on a project's board. Subtasks are listed inside their main task.

Change the board columns

  1. On the project page, press Columns.
  2. Rename a column by typing over its name, and change its colour with the colour square.
  3. Tick finishes on a column if dropping a task there should complete it.
  4. Add a column with New column and +. Drag the columns to change their order. Remove one with the bin icon; its tasks then have no column.
  5. Press Done.

A project with no columns shows its tasks by status instead: To do, In progress and so on.

Edit, archive or delete a project

Press Edit on the project page to change its details and members. Set Status to Archived when the work is over; the project moves to the Archived list and stays readable.

To delete a project, hover over its card on the Projects page and press the bin icon. The project goes to the Recycle bin. Its tasks are kept, and restoring the project brings it back as it was.
